The Behavioural Insights Team (BIT) is looking to hire a Project Coordinator to work in our London office.

What does a Project Coordinator do?

This role sits in the Project Operations team in BIT UK. The purpose of this team is to help the company run smoothly and efficiently by ensuring projects are correctly set-up and managed in our internal systems and that key project operational processes are followed, and by acting as connective tissue which encourages effective collaboration between the client-facing (front-end) and operational (back-end) parts of the business. The team also works on operational project management, internal projects, and the creation of new templates and process improvements which help BIT achieve its strategic goals.

The specific responsibilities of a Project Coordinator role include:

  • Project management support – working with project managers to track project progress, particularly in relation to budget, timeline and risks, and highlighting deviations so that project managers can take corrective action; leading on contract management.
  • Project management leadership – larger, more complex programmes of work may require a Project Coordinator to take on a more involved role as an Operations Programme Manager.
  • Resource planning and management – identifying and coordinating solutions to resourcing clashes, allocating resources to projects, productivity (utilisation) monitoring and reporting.
  • Team support – working closely with teams to ensure they run smoothly and effectively.
  • Financial performance management – team budgeting and forecasting; monitoring of cluster financial performance and advising on appropriate response
  • Business development and bid support – working with teams to maintain accurate pipelines; supporting bids and proposals, such as completing company information and due diligence documentation and QA-ing proposal costings; supporting team Directors on their team’s business development strategy.

People who do well in this job tend to be very organised with good attention-to-detail. They communicate well, and are proactive in solving problems and helping others. They also tend to be deeply knowledgeable of BIT’s processes and systems – but that is something you would learn on the job. Being successful in the job would include:

  • Prioritisation and clear communications. You can manage an active inbox, instant messages and busy meeting schedule. When communicating with colleagues you are always clear, professional, and solution-oriented.
  • Managing and developing yourself at work. You demonstrate high self-awareness and regularly self-reflect. You are aware of the impact that your actions and words have on those around you. You are resilient and able to accept responsibility and constructive feedback.
  • Managing the business development pipeline. You know your team’s pipeline and have a good sense of how busy and profitable the team will be over the next 6 months. You can support bids by offering ad hoc support, or by managing more complex and high priority opportunities if needed.
  • Improving process. You can analyse, prioritise and redesign BIT’s internal processes. You are always seeking ways to simplify, automate and reduce workload for your colleagues.
